Pipeline: the built-in ATS

Every candidate lands in a Kanban pipeline per role: stages, notes, activity timelines, interview scorecards and channel tracking, with no separate ATS to buy.

One pipeline, from first touch to hire

Shortlisting a candidate puts them on the role's pipeline board. From there, everything that happens to them (outreach, replies, interviews, notes, stage moves) accumulates on one card, so the answer to "where are we with this person?" is always one click.

Stages

Sourced, Invited, In progress, Needs review, Shortlisted, Offer, Hired, Rejected by default. Drag cards between stages, or let automations move them.

Boards

A per-role board for working one position, and a global All jobs board for everything in flight across the org.

Activity timeline

Every stage change, note, outreach event, LinkedIn invitation, interview and offer is logged with who and when. The history is append-only, so context never disappears.

Things the pipeline does for you

  • Completed AI interviews move candidates to Needs review automatically and file a review task, with the scorecard inline on the card.
  • Outreach sequences can move stages or close candidates out based on how they reply.
  • Every candidacy is channel-tagged (sourced, inbound, community, referral), so you can see which channel actually produces hires per role.
  • Candidates active in several roles are tracked independently per role, with each candidacy carrying its own stage and history.
  • A needs-review badge keeps interviews and replies from sitting unseen.

The same candidate card is available from AI Screening, the Talent Pool and the pipeline, with the full intelligence report attached. You never manage a thinner copy of a person in one view than another.

Team workflow

  • Notes and assignments live on the card, visible to the whole team.
  • Tasks is the shared inbox: replies to answer, LinkedIn touches to send, interviews to review, each deep-linked to its candidate and role.
  • Analytics (Growth plan) shows the funnel per role and per channel: sourced, contacted, replied, interviewed, hired.

Exports and portability

  • Export shortlists and pipeline data to CSV, or candidate profiles to branded PDFs.
  • Your data is yours: profiles, notes and history export cleanly if you ever need them elsewhere.

Can I customize the pipeline stages?

The default stages cover the standard hiring flow and automations are built around them. Stage configuration is org-level, so your team works one consistent board; if your process needs a different shape, talk to us.

Does TalentGPT replace my existing ATS?

For most teams on Starter and Growth, yes: sourcing, screening, outreach, interviews and pipeline live in one place. If you must keep an existing ATS, CSV export keeps it fed.

Can several roles pursue the same candidate?

Yes. Each role tracks its own candidacy with its own stage, notes and interviews, and the LinkedIn invitation history is shared so two recruiters never double-invite the same person.
