Connecting your mailbox (Outlook and Gmail)

Outreach sends from YOUR email address, not a platform relay. How to connect Outlook or Gmail, and how replies get read and routed.

Why we send from your mailbox

Candidates reply to real recruiters, not to platform relays. TalentGPT sends every outreach email from your own connected mailbox, so messages come from your actual address, sit in your Sent folder, and thread normally when candidates reply. It is better for deliverability and better for trust.

Connect Outlook / Microsoft 365

  1. 1Go to Integrations, then Email accounts.
  2. 2Click Connect Outlook and sign in with Microsoft. Standard OAuth: we never see your password, and you can revoke access from your Microsoft account at any time.
  3. 3Done. Sequences can now send as you, reply in-thread, and read candidate replies to route them.

Connect Gmail (or any IMAP mailbox)

  1. 1Enable 2-step verification on your Google account, then create an App Password (Google Account, Security, App passwords).
  2. 2In Integrations, choose the Gmail preset, enter your address and the app password. Yahoo and generic IMAP/SMTP work the same way.
  3. 3We verify the connection immediately and store credentials encrypted at rest.

App passwords are scoped credentials you can revoke independently of your main password. Your stored credentials are encrypted, and removing the mailbox from Integrations deletes them.

How replies are handled

  • Connected mailboxes are polled for new candidate replies every couple of minutes.
  • Replies are matched to the right candidate and sequence automatically, threaded by conversation.
  • Each reply is classified (interested, not interested, unsure) and, when your sequence branches on replies, routes the candidate down the right path.
  • Every reply also lands in your Tasks inbox where you can read it and respond in-thread without leaving TalentGPT.

Teams can connect multiple mailboxes. At enrollment time you pick which mailbox a sequence sends from, so the right recruiter signs the right outreach.

Frequently asked

Will emails really come from my address?

Yes. Sends go through your connected Outlook or Gmail account itself, appear in your Sent folder, and candidates reply directly to you. There is no shared sending domain or relay involved.

Is my password stored?

For Outlook we use Microsoft OAuth and never see a password. For Gmail/IMAP we store the app password you created, encrypted at rest, and it is deleted when you disconnect the mailbox. App passwords are revocable from your Google account independently.

What sending volume is safe?

Sequences send at a human pace from your own account, and recruiting outreach volumes (tens of personalized emails a day) are well within normal mailbox behavior. We recommend personalized sequences over blasts for both reply rates and deliverability.
